Hotel Policies & Additional Information:

Reservation Deadline:

The cut-off date for reservations is Sunday, October 13, 2024. Reservations can be made by using the phone number or website link provided above. NCA cannot guarantee the discounted rate will be available after the cutoff date, and rooms might sell out prior to the deadline.

Student Rates:

Student rate rooms are available only for NCA student members who have registered for the convention. Reservations made by non-student members will be cancelled. The student rate block fills up quickly, so we recommend booking your hotel reservation early.

Deposit Policy:

All reservations must be accompanied by a first night room deposit or guaranteed with a major credit card.

Cancellation Policy:

Cancellations made less than 72 hours before arrival will result in a forfeit of one night's room and tax. To cancel your reservation, use the booking link or contacting the hotel directly. Remember to get your cancellation number!

Check-In and Check-Out:

Check-in time is 4:00 p.m. and check-out time is 11:00 a.m.

Early Departure Fee:

An early departure fee, equal to one night room plus tax, may be charged if the hotel is not notified of an early departure 24 hours prior to check in.

No-Show Fee:

Failure to check-in on your scheduled arrival date will result in a no-show fee, equal to one night room plus tax, and the reservation may be subject to cancellation.

  1. Tick the "Accessible Room" box in the "Requests" section of the booking form.
  2. In the "Additional Requests" box, please provide any additional details or needs related to the accessible room.

Why Book a Room Through NCA?

Both Convention attendees and the association benefit when you book a hotel room through NCA. Here's how:

  • Networking — Staying within the official hotel block you are more likely to take advantage of networking opportunities with other attendees. It’s easy to meet up with colleagues in hotel restaurants, lobbies, and bars when they’re conveniently located inside your hotel.
  • Best Rate — NCA is able to negotiate lower room rates at a range of quality hotels.
  • Easily accessible — staying in an official hotel means less travel time, since you are already where you are supposed to be each morning, plus if you need a few minutes to yourself your room is only an elevator ride away. 
  • NCA Support — should you encounter any issues with your stay at any of the contracted hotels, Academy staff can support you in getting them resolved with the hotel.
  • Keeps Conference Costs Down — Your support in staying at NCA contracted hotels helps keep the conference costs down, which directly affects your registration fees. NCA guarantees the hotel that we will fill a certain number of “room nights” (rooms per night) during the conference. NCA incurs penalties if too many attendees opt to stay in other hotels in the area or neglect to indicate to the hotel that they are with the NCA conference. Currently, conference costs do not include meeting room rental. If NCA fails to fill the contracted room block, NCA is charged the cost for the meeting rooms daily, along with a hefty penalty. Future registration fees could increase to cover these additional risks.

Don’t be fooled by “housing pirates”.

Companies that phone, fax, or email attendees and exhibitors claiming to offer good deals on hotel rooms are commonly referred to as “housing pirates” or “housing bandits.” They may falsely claim to be affiliated with NCA. Please do not share your credit card information with any of these companies. NCA will not call you regarding hotel reservations and has not asked any hotels or other companies to do so.

If you are contacted by one of these “housing pirates,” please contact NCA at convention@natcom.org and include the following relevant information: 

  • Company Name
  • Email address (required)
  • URL of fraudulent website or email address of fraudulent email (required)
  • Text of website or email (optional)
  • Additional details (optional)

Include as attachments pictures of the website, the actual email chain with the fraudulent company, and any invoices or other attachments sent by the fraudulent company (optional but extremely helpful)

 

The Louis Armstrong New Orleans International Airport (MSY) is the closest airport to the New Orleans Marriott and Sheraton New Orleans hotels, located approximately 16 miles away. Airlines operating out of MSY airport include: Air Canada, AirTransat, Alaska Airlines, Allegiant Air, American Airlines, Boutique Air, Breeze Airways, British Airways, Condor, Copa, Delta, Frontier Airlines, JetBlue Airways, Silver Airways, Southwest, Spirit, Sun Country Airlines, United, and VacationExpress. Check out the Travel Discount section for discount codes for select airlines.

Getting to and from Louis Armstrong International Airport

Taxicabs

There is a cab stand right outside of the airport on level 1. Fares are $36 each way for one or two people. Three people or more are $14 each. There is a $1 per bag fee. This fare is good from the airport to anywhere in the city of New Orleans. It’s regulated by the city but is subject to change.

Ride Sharing

Need an airport pickup? Have a group dinner reservation? Need a “designated driver” to take you back to the hotel? There are apps for that! Cars range from low-cost rides to larger SUVs, and even luxury cars with specialty service (in case you wish to ride like a VIP).

 

KreweCar is a locally owned and operated premium rideshare service that allows you to book safe rides in advance with professional drivers who are screened and background-checked. They also offer car seats and boosters for families traveling with small children.

 

Download an app on your smartphone, enter your payment information, let them know where you are and where you want to go, and a local driver will pick you up in minutes. The best part is you pay via the app at the end of your trip. No cash or plastic is required. Tips are appreciated but not required.

 

Uber and Lyft Airport Pickups

Easily order an Uber or Lyft when you land at the New Orleans airport, and they’ll get you to your destination in no time! Located on the bottom level of the airport parking lot, there is a designated spot for ride-share pick ups. It is conveniently across the street from baggage claim, so grab your suitcase and meet your driver. Trips to and from the airport with start and end locations in Orleans Parish are a minimum of $33. Attending the NCA Annual Convention from outside the United States? We've compiled the following information to help you prepare for your trip.

Passport and Visa Information:

All international attendees must have a valid passport to enter the United States. Your passport should be valid for at least 6 months beyond the dates of the convention (November 21-24, 2024).

Depending on your country of origin, you may also require a visa to enter the U.S. It is your responsibility to determine if you need a visa and to obtain it in a timely manner. Visitors planning to attend the convention will most likely need to apply for a B-1 visa. We recommend starting your visa application process as soon as possible.

Information for attendees coming from outside of the U.S. can be found in the following places:

 

Before the Convention:

  • Ensure your passport is valid for at least 6 months beyond your travel dates.
  • Apply for a U.S. visa, if required, well in advance of the convention dates.
  • Register for the NCA Annual Convention and reserve your hotel accommodations.
  • Review travel advisories and entry requirements for the U.S.
  • Arrange for any necessary travel documents or vaccinations.

 

At the Convention:

  • Bring your valid passport with you to the convention site.
  • Check in at the registration desk upon arrival.
  • Familiarize yourself with the convention venue and schedule.
  • Participate actively in sessions, networking events, and other convention activities.

 

Requesting a Letter of Invitation:

If you require a letter of invitation to support your visa application, please send your request to the NCA Convention Office at convention@natcom.org. Include the following information in your request:

  • Your full name as it appears on your passport
  • Your passport number and date of birth
  • The title of your accepted presentation or panel
  • Your affiliation (university, organization, etc.)
  • Your contact information (email, phone number)
  • The NCA Convention Office will review your request and provide you with an official letter of invitation within 5-7 business days.

 

Tips for Successful Visa Application:

  • Request a letter of invitation from NCA.
  • When possible, provide proof of meeting registration.
  • Visa applicants are expected to provide evidence that they intend to return to their country of residence. Therefore, applicants should provide proof of binding or sufficient ties to their home country or permanent residence abroad. Visa applications are more likely to be successful if done in the visitor's home country.
  • Applicants should present their entire trip itinerary, including travel to any countries other than the United States, at the time of their visa application.
  • All applicants must be able to qualify for a visa on their own merits under the requirements of the Immigration and Nationality Act.
